Zapier shows task usage in several places, each designed for a different purpose and audience. The billing page captures total task usage across all products and access methods, and is always the most accurate figure for your account. The other locations in this article are operational views that help you find usage within specific workflows or time periods.
Where to check your task usage
The right place to check depends on what you need:
- A quick snapshot of tasks used.
- A detailed breakdown by Zap.
- Account-wide totals for billing.
Some locations are available to everyone, while others require specific plan types, or a specific account role.
All plans
| Location | What it tracks | Best for | Who can access |
|---|---|---|---|
| Navigation sidebar | Total billable tasks across Zap workflows and MCP for the current billing period | Quick snapshot of how many tasks you’ve used relative to your plan limit | Everyone |
| Billing page: Subscription tab | Total tasks used in relation to your plan limit for the current billing period | Quick check of how much of your plan tasks you’ve used | Owners, Admins and Super Admins |
| Billing page: Usage Insights tab | Billable task counts across Zap workflows and MCP, grouped by product type, not by individual Zap | Detailed breakdown for billing reconciliation | Owners, Admins and Super Admins |
| Zap history: Task usage tab | Task usage from your Zap workflows (Zaps, AI by Zapier, Code by Zapier, Lead Router) over a selected time period; does not include MCP usage | Identifying which Zap workflows used the most tasks | Everyone (for Zap workflows you can access) |
| Zap history: Zap runs tab | Task usage broken down by individual Zap run | Identifying which specific run used the most tasks | Everyone (for Zap workflows you can access) |
| Zap run in the Zap editor | Billable tasks used within AI by Zapier and Code by Zapier steps (for example, extended runtime for Code by Zapier steps, and model tier and tool calls for AI by Zapier steps), not overall task counts | Understanding which activity within a step used tasks | Everyone (for Zap workflows you can access) |
| MCP left sidebar | MCP-specific task usage | Reviewing tasks generated by MCP connections | Everyone |
Multi-user plans (Team and Enterprise)
| Location | What it tracks | Best for | Who can access |
|---|---|---|---|
| Admin Center | Total task usage for the whole account, matching what your bill tracks; includes MCP usage | At-a-glance account health monitoring (usage, errors, held Zaps); identifying issues needing review; central location for admin settings | Admins, Super Admins, and Owners in Team and Enterprise accounts |
| Analytics | Account task usage for monitoring and troubleshooting, covering all products and categories (for example, Zap workflows and MCP) | Tracking usage by Zap, app, or team member; monitoring error rates | Admins, Super Admins, and Owners in Enterprise accounts |
Why numbers may differ between locations
The total shown in each location can vary because of the following reasons:
- Different product coverage: The billing page, Admin Center, and Analytics include usage from Zap workflows and MCP. The Task usage tab in Zap history tracks Zap workflows only.
- Your role in the account: Owners and Super Admins can review all account usage. Members can only review usage for Zap workflows they own or that are shared with them, so task counts may be lower than the account total on the billing page.
- Timezones: The billing page uses UTC (Coordinated Universal Time). Zap history uses your local timezone, so daily counts near midnight may appear in different periods.
- Deleted Zap workflows: Tasks from deleted Zap workflows count toward your billing total but do not appear in the Zap history workflow list.
