Facebook Lead Ads: Zap not triggering

Your Facebook Lead Ads Zap did not trigger when a new lead submitted your form. The Zap may be turned off, or there may be issues with your Facebook connection, CRM permissions, or form settings. Sometimes you are able to test records when setting up the Zap, Sometimes you aren't.

Causes

This may happen for any of the following reasons:

Zapier does not have CRM access

If test leads work during test, but do not trigger when the Zap is live, it's likely a cause when Zapier does not have CRM access to your Facebook Page. CRM permissions allow Zapier to receive live lead data from Facebook. This is different from admin access or page permissions.

You do not have admin access

You could not connect your Facebook Page to Zapier or your Zap did not trigger. You must be an admin of the Facebook Page to connect it to Zapier.

Your lead form ID is incorrect

When you update your form, Facebook assigns a new ID to it. This means previously selected forms in your workflows are no longer valid.

You need a sample lead

You could not test your trigger because no sample lead could be found. Zapier needs at least one recent lead submission to pull in during setup.

Your Zap is turned off

Your Zap did not trigger and shows as "Off" in your dashboard. Zaps are off by default when created and turn off automatically if there are errors.

Your connection expired

Your Zap stopped triggering or you saw connection errors in Zap history. Facebook access tokens can expire or permissions may change.

How to fix it

Choose the solution that matches your issue:

Fix CRM access issues

To fix this:

  1. Go to your Facebook Page settings.
  2. In the left sidebar, click Integrations.
  3. Click Lead access.
  4. Look for Zapier (not "Zapier Inc.") in the list of apps with CRM access.
    • These appear as two separate apps in Facebook.
    • You need to grant access to Zapier specifically for live triggers to work.
  5. If Zapier is not listed:
    • Click Add CRMs.
    • Search for and select Zapier.
    • Grant the permissions.
  6. If Zapier is listed but the Zap still does not trigger:
    • In Facebook, click Restore Default Access next to Zapier.
  7. Go to Zapier, reconnect your Facebook account.
  8. Go to your trigger step, update the trigger to use the reconnected account, and turn your Zap on.
Get admin access

To fix this:

  1. Go to your Facebook Page settings.
  2. In the left sidebar, click Integrations.
  3. Click Lead access.
  4. Check that you're listed as an admin. If not, ask the Page owner to add you.
  5. Go to Zapier, reconnect your Facebook account.
  6. Go to your trigger step, update the trigger to use the reconnected account, and turn your Zap on.

Re-select your form

To fix this:

  1. Go to your trigger step.
  2. In the Form dropdown menu, re-select your updated form.
Reconnect your Facebook account

To fix this:

  1. Go to Zapier, reconnect your Facebook account.
  2. Go to your trigger step, update the trigger to use the reconnected account, and turn your Zap on.
